Fleet Statuses

The following is a list of fleet-related statuses. You can find these as search filter options on the left panel of the Fleet Hub, or as status tiles on the Fleet Operations dashboard.

Status tags are color-coded to help you quickly identify the type of action needed. For example, green statuses generally indicate active or ready records, gray tags indicate inactive records (e.g., closed agreements), yellow indicate in use or in service units, orange is advisory (e.g., for incomplete information), red tags require your attention, blue shows the agreement type, and purple tags are informative.

Fleet Statuses

Statuses reflect the Status field selection on the unit record and represent the current state of the unit (e.g., Ready, In Use, etc.). A unit can only be assigned one status at a single time.

Ready (Ready) . The unit is available and ready to be assigned. See "Unit Availability & Alerts" for more information on unit availability criteria.

In Use (In Use). The unit is assigned to an open agreement, including agreements that have been Close Pended.

Pending Import Details (Pending Import Details). For locations with automated fleet import, the unit record requires more information before it can be added to the fleet. A unit with this status cannot yet be assigned to an agreement.

Recall (Recall) . The unit has a Recall status assigned to it. If the unit is associated with one or more safety recalls by your manufacturer, a Recall tag is present on the record, so you can easily identify it. Depending on your manufacturer's settings, a recalled unit may be automatically grounded (i.e., set to a Recall status, if not In Use)) to ensure no driver uses it until the recall is released, or your location may be responsible for manually changing the status of these Recall-tagged units to Recall, or using the Hard Hold option for units In Use. (For example, a unit's actual status may be In Use but a Recall tag is present if the manufacturer has flagged the unit for recall. See "Vehicle Safety Recalls" for more information.)

Turnback Reached (Turnback Reached) . The unit has reached its Turnback Date.

Dirty (Dirty) . The unit is flagged as Dirty and should be cleaned before it is provided to customers.

On Maintenance (On Maintenance) . The unit is currently on maintenance.

Body Shop (Body Shop) .  The unit is in the Body Shop.

Other. Other status designed to handle “one off” cases (for example, a unit in the fleet that is set aside for a possible sale).

Removed From Fleet (Removed From Fleet) . Removed from the active fleet.

Removed from Pending Import (Removed From Pending Import). Removed from the Pending Import Details fleet feed, for those with automated fleet import. Search results for these units are sorted in descending order with the most recent removals on top. A RESTORE button is available for these unit records to restore them to Pending Import Details.

Fleet Special Statuses

Special Statuses are additional fleet-related attributes used to further categorize units by noteworthy conditions, regardless of a unit's official status. You can find these as Special Status search filter options on the left panel of the Fleet Hub, or as status tiles on the Fleet Operations dashboard.

Maintenance Due (Needs Maintenance) . The unit is due for regular preventative maintenance, based on your location's Maintenance Intervals setting. We recommend you change the status of the unit to On Maintenance so it won't be available for use, then reset the maintenance interval once the work is complete. See "Unit Maintenance" for more information about managing fleet maintenance.

Inspection Expiration. This is a special status indicating an active unit with an inspection sticker that is expired or expiring within 30 days, based on its Inspection Expiration Date.

Connected Car (Connected Car) . This is a special status for locations with TSD Telematics integration, indicating active units in the fleet that are currently enrolled or pending enrollment in TSD Telematics, sorted with Pending Enrollment at the top. See "TSD Telematics" for more information. The unit that is considered "connected" is one that has the Enable Connected Car toggle turned on in the unit record.

Hard Hold (Hard Hold) . This is a special status indicating an active unit (that has not yet reached its Turnback Date) placed on Hard Hold via the Hard Hold check box in a unit record.

Plate Expiration. This is a special status indicating an active unit with a license plate that is expired or expiring within 30 days, based on its Plate Expiration Date.

Flagged for Removal From Fleet (Flagged for Auto Removal) . This is a special status indicating units that have been flagged for automatic removal from the fleet. It can apply to units that have reached their Turnback Days, Turnback Miles or Service End Date, or it can apply to In Use units that have Flagged for Auto Removal selected in the unit record, for automatic removal when the unit is returned and the agreement is closed or close pended. Units flagged for removal are considered unavailable for assignment.

Telematics Enrollment Failed (Telematics Enrollment Failed) . For locations with TSD Telematics, these are units in the fleet for which enrollment in TSD Telematics failed. See "TSD Telematics" for more information.

Shuttle Statuses

You must have SHUTTLE SERVICE AVAILABLE turned on at your location (within the Agreement Types setting) to use this feature.

Ready. The unit is available ready to be assigned.

Pending Import Details. The unit record requires more information.

Turnback Reached. The unit has reached it's Turnback Date.

In Use. The unit is assigned to an agreement.

Recall. The unit has a Recall status assigned to it.

Changing a Unit's Status

Your employee role must have the Fleet Status permission to change a unit's status. See "Roles & Permissions" for more information.

Use the Status field in the unit record to change a unit's status.

Updates to this field are logged in the unit history, accessible via the History button on the side panel of a unit record. See "Unit History (Event Logging)" for more information.
